ILMA Code of Conduct

Your registration for the 2022 ILMA Annual Meeting acknowledges your acceptance of the following Code of Conduct at all events and activities, including independently organized activities held in conjunction with the Meeting.


ILMA is committed to providing a safe and welcoming environment for all Meeting participants and staff. You are expected to act in a professional and courteous fashion toward all attendees and staff throughout the Meeting. ILMA expects that you will:

  • Treat others with respect, inclusivity, and consideration, recognizing that the Meeting is a place for diversity of individuals, thought, and organization.

  • Avoid invading others’ personal privacy or space.

  • Respect the rules and policies of the Meeting hotel or any other associated venue or site.

  • Wear your Meeting badge at all times.

Unacceptable behavior from any Meeting attendee will not be tolerated. Unacceptable behavior includes, but is not limited to:

  • Harassment, intimidation, or discrimination in any form. This includes inappropriate comments, jokes, and other demeaning conduct.

  • Physical or verbal abuse of any attendee, speaker, staff, service provider, or other Meeting attendee.

  • Disruption of Meeting sessions or other events or activities organized by ILMA at the hotel or other associated venue or site.

ILMA reserves the right to take any action against unacceptable behavior that it deems necessary and appropriate, including immediate expulsion from the Meeting or sessions without warning or refund, exclusion from future meetings, or referral for action under ILMA’s Code of Ethics.

If you are the subject of unacceptable behavior, have witnessed any such unacceptable behavior, or have any other concerns, please contact immediately any member of the ILMA staff or counsel. All reports made to ILMA staff and counsel are confidential. In the case of an in-person emergency, call 911 or hotel security.

 

Consent to Use of Image 

Registration and attendance at, or participation in, the 2022 ILMA Annual Meeting constitutes your permission for ILMA’s use and distribution (both now and in the future) of all photographs, video, voice recordings or other media (“images”) taken of you at events and activities at the Meeting, and any reproduction of them in any form and in any media on a royalty-free basis. ILMA may crop, alter, modify or combine your images without notifying you.

Personal Liability & Waiver

By registering for this event, you confirm you have read the waiver in its entirety and agree to its content.

Attendee voluntarily assumes all risk to health and safety relating to the Meeting, whether occurring prior to, during or after the event. ILMA accepts no responsibility for injury, illness, loss or damage of any kind to person or property. 
Attendee agrees to waive, release and hold harmless ILMA, its officers, directors, employees and agents, against any and all claims arising out of or in connection with the Meeting, except for ILMA’s own gross negligence or willful misconduct.  

Specifically relating to the global COVID-19 pandemic, Attendee acknowledges the highly contagious nature of COVID-19 and voluntarily assumes the risk of exposure or infection by attending the 2022 ILMA Annual Meeting, and that such exposure or infection may result in personal injury, illness, disability, and/or death to Attendee. Attendee understands that the risk of becoming exposed to or infected by COVID-19 at the Meeting may result from the actions, omissions, or negligence of others who may attend the Meeting or their families, colleagues, or others with whom they may have contact. Accordingly, Attendee understands and agrees that this release includes any claims based on the actions, omissions, or negligence of ILMA, its employees, agents, and representatives, whether a COVID-19 infection occurs before, during, or after participation in the 2022 ILMA Annual Meeting.

Attendee agrees to comply with all COVID-19 related procedures that may be implemented by ILMA and/or the hotel, including but not limited to mask-wearing and social distancing requirements and restrictions on certain activities that carry higher COVID-related risk.

ILMA expressly disclaims any liability arising out of Attendee’s consumption of alcoholic beverages in conjunction with the 2022 ILMA Annual Meeting. ILMA expressly disclaims liability for any acts or omissions of Attendee resulting from excessive drinking, recklessness, or negligence on the part of any participant(s).

Conference Program and Presentations 

ILMA reserves the right to make any changes to the program at its sole discretion. Every effort will be made to keep presentations and speakers as represented. However, unforeseen circumstances may result in the substitution of one or more presentation topic(s) or speaker(s). 

ILMA makes no endorsements of any presentation or product. The views, opinions, displays and presentations by speakers and sponsors at the event do not necessarily reflect those of ILMA. 

Due to limitations imposed, especially by certain plenary speakers, Attendees are to refrain from recording any presenters or speakers for any reason or purpose. 

In the event that the Meeting must be canceled, delayed, interrupted or the schedule altered due to events beyond the reasonable control of ILMA or the conference organizers, ILMA will not be held liable to Attendees for any damages, losses or costs incurred, including but not limited to transportation and accommodation costs. ILMA is not liable for changes in program date, content, speakers or venue. 

Hospitality Guidelines for Private Functions

Out of respect for our sponsors and activities organized by ILMA, the ILMA Board of Directors promotes the following hospitality guidelines:

Excluding the tabletop displays in ILMA Base Camp, private signs, sales displays and distribution of sales literature in public areas are not allowed.

Hospitality suites and private entertaining may not conflict with scheduled business or social functions open to all registered meeting participants.

ILMA asks that companies not schedule meetings during the Opening General Session (Monday, October 3 from 9:45 – 11:15 am) so that all may attend this important community event.

Companies hosting hospitality suites or private functions for groups of 10 or more must inform ILMA of the planned event by September 31, 2022.

For groups of 10 or more, buses or other transportation cannot depart before 7:15 pm on Saturday and Sunday, October 1st and 2nd.

ILMA reserves the right to require that companies move their entertainment time if there is a conflict with these guidelines.
